1. Prepayment
We have a prepayment policy in place to ensure a smooth and reliable experience for our valued customers. When booking a session with us, we kindly request prepayment to secure your appointment. This prepayment serves as a commitment and helps us reserve the necessary resources, equipment, and staff for your session.
2. Rescheduling
In the event that you need to reschedule, we are more than happy to accommodate your request, as long as it is made at least 3 business days before your scheduled session. Please note that rescheduling can only be done once, and the Prepayment will be applied to the new appointment.
3. Cancellation
Cancellations must be made and communicated in writing at least 7 calendar days before the session. In the event of this (more than 7 day cancellation), 50% of a paid session is non-refundable as it compensates for the time and resources allocated to your session.
4. Royalty
We have a royalty policy in place to ensure fair compensation for the ongoing usage of our photographs. This policy applies to clients who wish to utilize our images beyond the initial purchase. The exception is author photos which are used on book jackets, personal websites, for book and author events, and book release announcements. For these, please give photo credit as follows: William Barclay
Here is an overview of our royalty policy:
• Initial Purchase: When clients purchase photos from our studio, they are for non-commercial use. This means they are granted a license to use the images without the requirement of paying additional royalties. This license covers personal usage, such as displaying the photos in personal albums, sharing on social media platforms, or printing for personal use.
• Extended Usage: If clients wish to use our photos for commercial purposes or for an extended period beyond the initial purchase, additional royalties may be applicable. This includes usage in marketing campaigns, advertisements, publications, or any other form of commercial or promotional use.
• Royalty Calculation: The specific royalty fees are determined based on factors such as the scope of usage, intended audience, duration of usage, and the nature of the project. These factors help us determine a fair and appropriate royalty rate for the extended usage of our photographs.
• Royalty Agreement: To initiate extended usage of our photos and establish the corresponding royalty fees, clients must enter into a separate royalty agreement with us. This agreement outlines the terms, duration, and fees associated with the desired usage. It ensures transparency, clarity, and mutual understanding between our studio and the client.
• Ongoing Usage: The payment of royalties grants clients the rights to continue using the photographs for the specified commercial purposes and duration outlined in the royalty agreement. It provides the necessary permissions and legal compliance for extended usage beyond the initial purchase.
By implementing this photography royalty policy, we aim to protect the value of our work and ensure fair compensation for the ongoing usage of our photographs. We value open communication and are ready to discuss specific royalty requirements and tailor agreements to meet the unique needs of our clients.
